Maximo Notes: Scribble Anything, Maximo Does the Rest
Maximo Notes is a scratch pad with a brain. Write anything off-head — a half-thought, a plan, a to-do buried in a ramble — and it saves raw as a Jot. Maximo then quietly reviews it: pulls clear action items into Tasks, marks existing tasks done or in progress when your note says so, links related notes, suggests a title and labels, and records every action in the note's activity trail. Notes are personal to you by default; share one with the workspace only when you choose. The Notes plugin is activated by typing @notes in the composer.
- Jots vs notes: a Jot is a raw quick capture — unorganized on purpose, saved exactly as you wrote it. A note is structured with a title. Ask Maximo to tidy any jot into a note; the original scribble is always preserved and viewable.
- Proactive AI review: shortly after you write or update a note, a light AI pass (reasoning always on high) reads it, creates tasks from clear action items, updates existing tasks the note shows progress on ('shipped the logo yesterday' marks that task done), links clearly related notes, and adds a one-line summary. You get a notification describing exactly what it did, and the note's Activity trail keeps the full history.
- Privacy is absolute: flip a note to private ('AI off') and Maximo never reads it — no review, no chat access. Maximo can mark a note private if you ask, but only you can unmark it.
- Personal by default: your notes are yours alone. Share an individual note with the whole workspace from its drawer (or ask Maximo), and pull it back to personal any time. Replies inherit the thread's visibility and privacy.
- Threads: every note can carry replies, so a scribble grows over time — reply from the app, from chat, or by replying to the saved-note confirmation in Telegram or WhatsApp.
- Links and backlinks: connect related notes explicitly; both sides show the connection. Maximo also links notes it recognizes as the same topic during review, always labeled as AI-made.
- Capture from anywhere: type @notes in Maximo chat, or start any Telegram/WhatsApp DM to your linked Maximo bot with @notes (any capitalization) — the rest of the message is saved raw as a jot and you get a confirmation in your own language.
- The Notes plugin is activated by typing @notes (or /notes) in the composer; its tools and guidelines load only while active, so an idle plugin costs zero tokens. Maximo has full control: list, read, create, edit, tidy, label, pin, archive, link, review, and delete (deletes are confirmed first).
- The Notes page is a compact liquid-glass scratch pad: masonry cards with reveal-on-scroll, pin and archive, label filters, live AI review states, a detail drawer with the thread, connections, and activity trail — great on mobile and desktop, day and night mode.
- Limits are enforced by plan: Free stores 100 notes with 20 AI reviews a month; Plus 1,000 notes and 300 reviews; Pro 10,000 notes and 2,000 reviews; Max 50,000 notes and 10,000 reviews. Daily review caps (5/30/150/600) keep budgets smooth.
- Notes follow the signed-in user's role: owners, administrators, and members write; viewers are read-only. Notes content is yours — Maximo refuses to store credentials, API keys, or card numbers.
